Appointment Reminder System

If your business primarily runs by appointments, you’re probably losng a lot of money each month in missed appointments and last-minute cancellations.  While you can’t eliminate the problem altogether, having a good appointment reminder system in place can greatly reduce wasted appointment slots and increase your revenues. 

 The problem is, most appointment reminder systems just don’t work very well.  If you call each appointment individually, you eat up a lot of time on the phone.  This is especially true if you have some talkative people to deal with like we do at my office - what should be a 30 second call can wind up taking 30 minutes! 

Automated phone systems save time, but many people find automated calls to be impersonal and annoying, so they are not the ideal solution for appointment reminders. 

Although not perfect, in my opinion text message appointment reminders are the best option.  You can send a text message appointment reminder in 30 seconds once you have your templates set up, and most people are receptive to text messages.  In fact, studies have shown that the majority of people will read a text message within 90 minutes of it hitting their phone and text messages have much better deliverability and response rates than email and voice mail. 

While you may not be able to use a text message appointment reminder system for every single appointment, it will work the vast majority of the time.  For those few people who can’t or don’t wish to receive text messages, you can still use phone calls, but the total amount of calls you make and the time you spend making calls will be greatly reduced.
